Please read these Terms carefully before using ClubOS. By accessing or using ClubOS, you agree to be bound by these Terms. If you do not agree, do not use the platform.

ClubOS is a youth sports operating system used by clubs, coaches, parents, athletes, and platform administrators. Individual clubs may provide supplemental terms, waivers, codes of conduct, payment terms, or program policies that apply to their own members.

1. Accounts and Eligibility

You must provide accurate account information and keep your account secure. Parents or guardians who register on behalf of a minor represent that they have authority to do so.

ClubOS may support coach, parent, athlete, club manager, and platform administrator accounts. Available features depend on your role, club access, and the configuration selected by your club.

2. Club Operations

Clubs use ClubOS to manage rosters, schedules, onboarding, communications, documents, signatures, payments, reporting, and related administrative workflows.

Each club is responsible for its own program decisions, team assignments, eligibility standards, safety rules, event operations, and supplemental legal documents.

3. Minor Athletes and Parent Responsibilities

ClubOS is designed for youth sports environments and may process information about minor athletes. Parents and guardians are responsible for providing accurate information, completing required club forms, and managing privacy choices for athletes under their care.

Where an athlete is under 13, direct athlete login and communications require verifiable parent or guardian consent where required by law and by the club's configured policies.

4. Communications

ClubOS supports in-app, SMS, email, and push communications. You agree to use messaging tools only for legitimate club, team, athlete, family, and administrative purposes.

  • Do not send spam, harassment, threats, abusive content, or unlawful content.
  • SMS message and data rates may apply.
  • You may opt out of SMS messages by replying STOP where supported.
  • Delivery of carrier, email, and push messages depends on third-party networks and providers.

5. User Content and Records

You may submit messages, files, photos, videos, documents, signatures, profile information, and other content through ClubOS. You represent that you have the rights and permissions needed to submit that content.

You grant ClubOS and the applicable club the rights needed to host, process, display, transmit, and retain submitted content for platform operation, club administration, safety, compliance, and support.

6. Payments and Third-Party Services

Some clubs may use ClubOS with payment processors, messaging providers, signing providers, analytics providers, storage services, or other third-party services. Those providers may have their own terms and privacy policies.

Unless a club states otherwise in its supplemental policies, program fees, merchandise, refunds, and payment disputes are administered by the applicable club or payment processor.

7. Acceptable Use

  • Do not attempt to access another user's account or another club's data without authorization.
  • Do not interfere with platform security, availability, or integrity.
  • Do not upload malicious code or content that violates law or third-party rights.
  • Do not misuse athlete, parent, coach, or club information outside legitimate sports and administrative purposes.

8. Platform Changes and Availability

ClubOS may change, suspend, or discontinue features as the platform evolves. We work to keep ClubOS reliable, but we do not guarantee uninterrupted or error-free availability.

9. Disclaimers and Limitation of Liability

ClubOS is provided on an as-is and as-available basis to the fullest extent permitted by law. ClubOS is not responsible for a club's coaching decisions, event operations, athlete placement, safety supervision, or program-specific legal obligations.

To the fullest extent permitted by law, ClubOS will not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages arising from your use of the platform.
